Booking a Cross Organisational Slot

Before completing a Cross Organisational Slot booking please make sure that the appropriate Data Sharing Agreements have been activated and other hub appointment settings configured first.  See here for more information.

Booking a Cross Organisational Slot on a hub for Consultation Write Back is a slightly different process to booking slots for Remote Consultations.

In the EMIS Appointment Book select Find Slot > Find cross-organisational slot:

If you have a patient open it will automatically populate the patient in the patient field along with the Practice name.  However booking staff will need to remove the practice and search and select for the name of the Hub.  The patient will disappear.  Click on the search icon next to the patient:

The Patient's organisation must always be the Hub name and never the GP Practice.  Do not use the Organisation field in the Appointment Criteria.

Type in the details of the patient or preferably their NHS number and click on Find.  If the patient has never used the hub service before (i.e Enhanced Access service) the search will return with No patients found.  Therefore the booking staff member must select book as an unregistered patient:

When you have selected unregistered patient a list of available appointments will be listed.  Booking practices can filter further on Slot Types (type of clinician):

and, by selecting Advanced Criteria, Session Categories (clinician location if F2F):

Select the appropriate slot.  In the Book Slot window type in the patients full name and in the Booking notes their NHS number and Date of Birth.  You may also want to add a reason for the booking.  This full name/NHS Number and DOB will inform the hub administrator to Trace the correct patient. Click on Book.

The Clinical Hub staff will need to Trace unregistered patient into the Hub and register them in the appointment slot before they can be consulted. See here for more detail.

If a patient has used a hub service before they will already have been traced onto the Hub.  After you have entered the patients details in the Patient Trace window (again try and use their NHS number) they will be found under the Cross-organisation Patients tab.  Select patient:

As with an unregistered patient, booking practices can then filter on Slot Types and Session Categories.  In the Book Slot window you only need to type in the reason for their booking (optional) and then Book:
